Government Administration Clerks are responsible for supporting the smooth running of administrative functions within government departments. Their role focuses on ensuring that procedures are followed correctly in areas such as procurement, budgeting, communication, and record management.


Key Duties

📦 Procurement Support

  • Request written quotations from suppliers
  • Complete requisition forms
  • Ensure purchases are properly approved and committed according to procedures

💰 Budget Administration

  • Submit required documentation into the budget system
  • Confirm availability of funds before expenditure is approved

📁 Record Management

  • Keep accurate VA register records
  • Capture requisition details, supplier information, and order numbers

🧾 Order Processing

  • Forward documents to stores for order creation
  • Retain copies of all relevant documents for record purposes

📢 Communication Duties

  • Facilitate communication between departments and suppliers
  • Distribute and manage official documents (including faxed or submitted paperwork)

Minimum Requirements

  • National Senior Certificate / NQF Level 4
  • No prior experience required (entry-level role)

Added Advantages

  • 1 year Public Service internship experience (preferred)
  • Basic understanding of administrative procedures

Skills Required

  • Computer literacy (MS Word, Excel, Outlook, MS Office Suite)
  • Strong communication skills (written and verbal)
  • Report writing ability
  • Problem-solving and analytical thinking
  • Basic understanding of government legislation and policies, including:
    • Constitution of South Africa
    • Labour Relations Act
    • Promotion of Access to Information Act
    • Public Service Act
