About the Administration Clerk Position
Government Administration Clerks support the daily operation of public-sector offices. Their responsibilities may include preparing procurement documents, monitoring administrative records, assisting with expenditure processes and communicating with suppliers and internal departments.
Employees must perform these duties accurately and in accordance with applicable government policies, procedures and financial controls.
Key Duties and Responsibilities
Procurement Administration
The successful candidate may be required to:
- Request written quotations from suppliers
- Complete procurement requisition forms
- Check that expenditure has been properly approved
- Confirm that financial commitments are recorded correctly
- Maintain supporting procurement documents
Budget Support
Administrative duties may include submitting the required documents to the relevant budget system or office to confirm the availability of funds and obtain approval before expenditure is processed.
Record Management
The Administration Clerk may be responsible for:
- Updating the VA register
- Recording requisition information
- Capturing supplier details
- Recording purchase or order numbers
- Filing supporting documents accurately

Order Processing
The successful applicant may submit approved documentation to the relevant stores or procurement section for an order to be generated.
Copies of requisitions, quotations, approvals and order documents must be retained according to the department’s record-management procedures.
Communication and Coordination

Minimum Requirements
Applicants should have:
- A National Senior Certificate or NQF Level 4 qualification
- Basic knowledge of administrative processes
- Computer literacy
- Good verbal and written communication skills
- Basic report-writing abilities
- Problem-solving and analytical skills
- Ability to maintain accurate records
- Ability to work responsibly with official information
No previous work experience is required. However, one year of experience gained through a Public Service internship programme may be an advantage.
Computer Skills
