Administration Clerk

Tasks:

Provide general secretarial assistance to the Director and the Directorate officers. The Directorate’s incoming and leaving registrations should be kept up to date. Get questions and answer them promptly. As needed, receive and deliver documents for the Directorate. Keep the Directorate’s file system up to date. Create photocopies and send and receive faxes. When necessary, type letters and/or other correspondence.

Knowledge:

Possess an understanding of basic financial operating systems (SAP) and clerical responsibilities. awareness and comprehension of the laws that control the Public Service. fundamental understanding of analysis and problem solving. a very driven person with strong organizational and time management abilities. To work with individuals at all levels in the department, the incumbent must possess strong interpersonal and communication skills in addition to proficiency with computer programs such Microsoft Word, Excel, Outlook, and PowerPoint.

 

Clerk for Administration (Telephone Operator)

A senior or grade 12 certificate is required.

Knowledge:

The capacity to collect data as well as familiarity with clerical procedures and functions. Compile administrative statistics and use a computer. fundamental understanding of analysis and problem solving. Responsibility and moral behavior. strong communication abilities. Telephone manners.

Tasks:

Answer incoming and outgoing calls to operate the switchboard. Respond to regular questions. must maintain the filing system and registry. Make sure clients are appropriately and swiftly referred. removing communications and distributing them appropriately. providing clients with basic information about the Department’s offerings. Maintain a neat and orderly welcome area. Accept visitors and/or guests. maintaining a database of other crucial phone numbers and updating and disseminating the internal phone book.
