1. Position: Examinations Assistant
Location: District & Head Offices
Main Purpose of the Role:
The Examinations Assistant works behind the scenes to ensure examination scripts are received, verified, organised, and dispatched to the correct marking venues. This role is critical in maintaining the chain of custody for scripts from the moment they leave the exam venue until they are handed to markers.
Detailed Responsibilities:
Receiving and Checking Scripts
-Collect scripts daily from designated collection points.
-Confirm that all scripts for each subject and paper have been received.
-Use control lists to verify the number of scripts matches the official records.
Controlling and Scanning Scripts
-Accurately log scripts into the database.
-Scan scripts for tracking and verification purposes.
-Immediately flag any missing scripts for investigation.
Packing for Marking
-Group scripts according to subject, paper, and examination session.
-Pack scripts into secure bags, each containing:
-Two copies of the MP Flow Control List of contents.
-A colour-coded label for the assigned marking venue.
Resolving Discrepancies
-Investigate any mismatches in script counts or misplaced marksheets.
Work with supervisors to correct errors before dispatch.
-Creating Marking Centre Files
Prepare detailed files for each marking centre, listing the scripts dispatched.
-Maintain both physical and digital records for accountability.
Dispatch and Archiving
-Assist with secure delivery of scripts to marking venues.
-After marking, receive scripts back and archive them in indexed order for easy retrieval.
2. Position: Quality Assurer
Location: Marking Centres
Main Purpose of the Role:
The Quality Assurer ensures that the marking process is accurate, fair, and consistent. They act as a checkpoint between the marking teams and the final collation of results.
Detailed Responsibilities:
Receiving and Distributing Scripts
-Receive scripts from Examinations Assistants.
-Verify quantities and assign scripts to appropriate marking teams.
Monitoring Marking Accuracy
-Check that all questions in a script have been marked.
-Ensure marks are correctly totalled and transferred to the front cover.
-Verify that the marks on the script match the marks recorded on the marksheet.
Error Correction
-If discrepancies are found, return the script to the marking team for correction.
-Ensure corrections are applied to both the script and marksheet.
Final Reconciliation
-Count and arrange scripts in numerical order per subject and paper.
-Prepare scripts for archiving after marking.
Minimum Requirements for Both Roles
Educational Qualification:
Grade 12 / Senior Certificate / National Senior Certificate (NSC) / NSC Vocational.
Who Can Apply:
-Registered students at a tertiary institution.
-Unemployed individuals with one or more tertiary qualifications.
-Unemployed graduates.
Skills and Competencies:
-Good numerical skills (Mathematics or Mathematical Literacy at Grade 12 level).
-Attention to detail.
-Ability to work under pressure and meet strict deadlines.
-Organisational skills and ability to follow procedures.
Advantageous:
-Second-year or higher tertiary students.
-Previous experience in examination administration as an Examinations Assistant or Quality Assurer.
Important Restrictions
-Individuals writing the National Senior Certificate, Senior Certificate, or Adult Education and Training (AET) Examinations in 2025 may not apply.
-Individuals who have taken the Voluntary Severance Package (VSP) from government service may not apply.
-Individuals who are employed elsewhere at the time of application will not be considered.
