Job Overview
Administration Clerks within government departments play an essential role in supporting effective and efficient administrative operations. Their duties include assisting with procurement processes, budget control, record management, and general office administration, while ensuring full compliance with government policies, legislation, and procedures.
Key Responsibilities

Procurement Assistance: Request written quotations from service providers, complete requisition documentation, and ensure expenditure is properly approved and committed.

Budget Administration: Submit required documentation to the financial system to verify budget availability and secure approval before expenditure.

Record Management: Accurately capture and maintain information in the VA register, including requisition numbers, supplier details, and order references.

Order Processing: Forward approved documents to stores for order generation and retain copies of all supporting documents for record purposes.

Communication and Coordination: Liaise with internal departments, suppliers, and stakeholders by distributing documentation and ensuring records are complete and accurate.
Minimum Requirements

National Senior Certificate (Grade 12 / NQF Level 4); no prior experience required.

Basic understanding of administrative procedures.

Computer literacy, including proficiency in MS Word, Excel, Outlook, and the MS Office Suite.

Strong verbal and written communication skills, including basic report writing.

Knowledge of relevant government legislation and prescripts, such as the Constitution, Labour Relations, Promotion of Access to Information Act, and the Public Service Act.

Good problem-solving and analytical abilities.

Completion of a one-year Public Service Internship Programme will be an added advantage.
