Job Overview
Government Administration Clerks are responsible for supporting the smooth running of administrative operations within government departments. Their duties include managing administrative tasks such as procurement processes, budget coordination, and maintaining records while ensuring compliance with government rules and regulations.
Key Responsibilities
Procurement Assistance:
Request written quotations from suppliers, prepare requisition forms, and ensure that expenditure is approved and properly committed.
Budget Coordination:
Submit required documentation to the budgeting system to verify the availability of funds and obtain approval for spending.
Record Management:
Keep accurate and updated records in the VA register, including requisition details, supplier information, and order numbers.
Order Administration:
Forward documents to the stores department to generate purchase orders and keep copies of all relevant paperwork for record purposes.
Communication:
Coordinate communication between departments, suppliers, and other stakeholders by sending documents and ensuring that all records are properly maintained.
Requirements

Grade 12 / National Senior Certificate (NQF Level 4) with no prior work experience required.

Basic understanding of administrative procedures.

Computer skills in MS Word, Excel, Outlook, and other Microsoft Office applications.

Strong written and verbal communication skills, including the ability to write reports.

Knowledge of government regulations such as the Constitution, Labour Relations Act, Promotion of Access to Information Act, and the Public Service Act.

Good analytical thinking and problem-solving abilities.

One year of Public Service Internship Programme experience will be an added advantage.
