Job Purpose
The Administration Clerk will provide vital support to the Deputy National Commissioner’s office by ensuring daily operations run efficiently, helping coordinate administrative processes, and contributing to effective office logistics. Key Responsibilities
The appointed Administration Clerk will perform a variety of administrative and clerical responsibilities, including but not limited to:

Provide full administrative and clerical support to the Office of the Deputy National Commissioner: Crime Detection, assisting with day-to-day office operations.

Oversee logistics and office resources, including ordering, managing, and distributing office supplies, stationery, printing materials, and equipment.

Create, maintain, and update filing systems, records, and documentation registers, ensuring accurate traceability and safe storage of important information.

Screen, route, and manage incoming telephone calls and inquiries, ensuring professional communication and directing queries appropriately.

Assist with document processing, including typing reports, letters, minutes, agendas, briefings, and official correspondence.

Manage confidential and sensitive documents securely, following strict confidentiality, privacy, and access control protocols.

Record and maintain meeting minutes, track action items, and ensure effective document flow and follow-up correspondence.

Coordinate and monitor document movements between departments and management offices, ensuring timeous turnaround.

Assist with leave form capturing and departmental registers, updating spreadsheets and internal records.

Liaise with internal SAPS divisions, external stakeholders, and service providers regarding operational matters linked to the office.

Operate standard office equipment including printers, fax machines, telephones, photocopiers, scanners, and computers.

Support internal and external stakeholder engagement, ensuring high-quality communication and professional representation of the office.

Educational Requirements

A Senior Certificate (Grade 12) or National Certificate Vocational (NCV) recorded on the National Learner Record Database (NQF Level 4) is required.
