Job Opportunity: Administration Clerk


Salary: R216 417 per annum (Level 05)
Location: Office of the Deputy National Commissioner: Crime Detection, Pretoria

The South African Police Service (SAPS) is inviting applications from suitably qualified and organised individuals for the position of Administration Clerk within the Office of the Deputy National Commissioner: Crime Detection. This role is critical in ensuring the smooth day-to-day functioning of the office through effective administrative and logistical support.

The successful candidate will be responsible for maintaining office systems, managing records, coordinating communications, and supporting operational logistics. The role requires a proactive, reliable individual with strong organisational skills, the ability to handle sensitive information discreetly, and the capacity to work under pressure, including extended hours when required.


Minimum Requirements

  • Senior Certificate (Grade 12) or National Certificate (Vocational) at NQF Level 4, recorded on the National Learner Record Database

  • Proficiency in at least two official languages, with English being compulsory

  • South African citizenship

  • No criminal record, departmental convictions, or pending cases

  • Willingness to undergo security screening, including fingerprint verification and vetting

  • A relevant diploma or degree will be an advantage

  • Additional administrative-related courses will be beneficial

  • Ability to perform duties under pressure and work extended hours when necessary


Key Responsibilities

  • Provide comprehensive administrative support to the Office of the Deputy National Commissioner: Crime Detection

  • Coordinate office logistics, including management of supplies and document control

  • Maintain leave registers, filing systems, and official records

  • Screen and manage incoming telephone calls and correspondence

  • Type and prepare reports, letters, agendas, and meeting minutes

  • Safeguard and manage confidential documents and information

  • Record meeting minutes and monitor document flow within the office

  • Liaise with internal divisions and external stakeholders

  • Maintain effective filing, record-keeping, and document management systems

  • Operate office equipment such as computers, photocopiers, fax machines, and telephones


Skills and Competencies

  • Excellent organisational and time-management skills

  • Strong written and verbal communication abilities

  • Proficiency in Microsoft Word, Excel, and email systems

  • High level of integrity and confidentiality

  • Ability to work under pressure and meet deadlines

  • Strong interpersonal skills and the ability to work with various stakeholders
